User Management Template

The User Management Template report is designed to help communicate with the Wave Support team effectively and completely all the information necessary to create, update and remove users. Using this format will ensure a faster, more accurate process to manage users with less iterations. 

The report includes detailed instructions; the following is a guide to understanding the process.

To get started, you will need to download your company's User Management Template report on the Reports tab of Wave. Contact your Wave representative if you do not see this report. 

Note: The User Management Template report may contain confidential or sensitive information. Please share ONLY with the Wave Support team.

Create Users

You can request creation of a single user or a larger number of users.

1. In both instances, enter the basic user information (first and last name, email address) into the Client-User Creation tab, then select the user(s) to which you want to assign a role and visibility.

For a single user: Double click on the line where you entered the user's information

For multiple users: Select the rows that correspond to the users that should have the same access and click the button Add access details for selected rows, which is at the top of the page.

2. A pop-up box will open and you will be prompted to select the role, visibility group and approver rights (if applicable) of your selected user. 

Primary Role: Each user must have only one primary role. This will define their editing rights.

Guest = View only

Tsunami = View + own and edit any cards

Wave = View + own and edit own cards

Secondary Roles: Optional and users may have more than one secondary role. The are unique to you company and exact names and descriptions may vary from what is show in the example above.

UPG/Visibility groups: These groups will define the data restriction that a user will have. There are usually defined based on workstreams, business units or geography. Selecting the option for user means the user will have visibility to all the cards to which that group allows access.

Approver AttributesApprover attributes will define which type of approver the user will be. This is most frequently used to mark the user as a workstream leader or a finance approver.

Approver groups linked to the selected approver attribute: After selected the approver attribute, assign the user to an approver group, which can be selected from the options provided. The list of approver groups will appear once an Approver Attribute(s) is selected.

OTP required: Check this box if you want to provide users the ability to access Wave from a non-IP-whitelisted location (One time password). For more information about OTP, contact your Wave representative.

Send Credentials: Check the box if you want users to receive their credentials via email. 

User Update

Users can be updated or modified following these steps. 

1. Start by double clicking the topmost blank row of the User Access Modification tab. Search for the user in the pop-up box by selecting the magnifier icon in the User to be modified field and enter the name. When you open the user's record, you will see their current roles and visibility settings

2. Enter card owner replacement(s) as applicable. In the event you are changing the access of a user to Guest and the user owns ideas or actions, you will need to reassign those ideas or actions. 

3. Update the user's role. As in user creation, you will be prompted to select a primary and secondary role, as well as UPG and approver group (if applicable).

 

User Removal

Users can easily be removed, but ensure they are replaced as card owner and approver.

1. Start by double clicking the topmost blank row of the User Access Modification tab. Search for the user in the pop-up box by selecting the magnifier icon in the User to be modified field and enter the name. When you open the user's record, you will see their current roles and visibility settings

2. Provide a replacement owner for any cards owned by the removed user. You will receive an error message similar to the one below if a replacement owner has not been selected.

3. Click save to flag the user for deletion. 

 

Submitting a Report

After all the users you wish to add, update and/or remove have been included, submit the report as an attachment via the Wave Support form

For new requests, always start with a new version of the report downloaded directly from Wave.
